Who we are

This site, sosx.ai, is operated by Digital Tactics Ltd (5 Boundary Road, Hove BN3 4EH, United Kingdom; company no. 07666910), the company behind SOSX®: System-of-Systems for X. Digital Tactics is the data controller for the personal data described here.

What we collect, and why

We keep this deliberately small. We collect:

• Your email address, when you subscribe for updates or request a book, so that we can send you what you asked for.
• Your name, only if you choose to give it, to address our emails to you.
• A record of what we sent you, which updates, and which book copies, we delivered to your address.
• Aggregate, cookieless site metrics, page views and similar, collected without identifying you.

We do not buy or sell personal data, we do not build advertising profiles, and we set no marketing or tracking cookies.

Lawful basis

• Consent for our update emails, you opt in, and you can withdraw at any time via the unsubscribe link in every email.
• Legitimate interests for delivering a book you requested, keeping a delivery record, protecting our work from unauthorised redistribution, and keeping the service secure (for example, limiting abuse).

Cookieless analytics

This site uses privacy-friendly, cookieless analytics. We set no analytics cookies and do no cross-site tracking; aggregate page metrics are collected without identifying individual visitors.

The film on the home page

The home page film is hosted on YouTube and shown in its privacy-enhanced mode. Nothing is loaded from YouTube until you press play; once you do, YouTube's own privacy policy applies to that playback.

Email updates

If you subscribe, we store your email address to send you those updates. Subscription is double opt-in: nothing is sent until you confirm from the email we send you, and every email includes an unsubscribe link. Unsubscribe and we stop, we keep only the minimum needed to make sure we honour that.

Book downloads

When you request a book from the SOSX series, we use your email address to deliver your copy and we keep a record of that delivery.

We keep that delivery record so we know which books we have sent you and can answer questions about your own copies. It is not used for any other purpose, and we never share it except where we are legally required to.

How long we keep it

Recommended retention, to be confirmed by Digital Tactics:

• Subscriber records, until you unsubscribe, after which we delete them within 30 days (keeping only a minimal suppression record so we continue to honour your unsubscribe).
• "Notify me" (interest) records, until the item is released and you are notified, or 12 months, whichever is sooner.
• Download links, expire shortly after they are issued and are then removed.
• Delivery records (the marked-copy record above), kept while necessary to protect our work, and reviewed periodically.
• Security and delivery logs, a short rolling period (around 90 days).

Who processes your data for us

We use trusted providers to run the service: Cloudflare (site hosting, cookieless analytics, and our subscribe/delivery service) and an email delivery provider to send confirmation and delivery emails. These providers process data on our instructions. Some may process data outside the UK; where they do, appropriate safeguards apply.

Your rights

Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, or stop using it, and you can withdraw consent to our emails at any time. To exercise any of these, email us at the address below. We will also balance an erasure request against our need to keep a minimal delivery record to protect our work, and will explain where that applies.

You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
